Temporary Assignment : 1 Year

Responsibilities will include, but are not limited to, the following:

Provide administrative support to the HR Leadership Team for day-to-day operations as well as individual projects as needed.

  • Responsible for making travel arrangements

  • Responsible of handling the expense process

  • Pro-active management of the agendas

  • Act as single point of contacts for all people needing time with HR Leadership Team member

  • Provide general administrative support to other members of the HR team as and when required.

  • Open, sort and distribute mail, fax documents, keep files, order office supplies and maintain supplies.

  • Responsible for scheduling, organizing and recording all HR meetings.

  • Responsible for scheduling the HR Interviews and taking care of the candidates. Support with material preparation for specific workshop.

  • Organize administrative systems to support department members including filing/records retention and other functions as required.

  • Responsible for all HR Purchase Order creation and follow up. OCA Coordinator, taking care of the HR Intranet. Responsible for projects as and when required.

  • Responsible for Celgene donation. For external visitors, mainly US, schedule meetings, book meeting rooms and provide administrative support when they visit the Celgene office in Boudry.

  • Act as point of contact for all the incoming phone calls in HR, filtering and redirecting, taking calls for recruiters. Responsible for updating HR distribution lists within HR Department as and when required. Assist with new HR staff onboarding. Other duties related to the above within Celgene as a whole, as assigned.

Skills/Knowledge Required:

  • Strong interpersonal skills, be a team player and be willing to work in an environment where individual initiative and accountability to the team are required.

  • Able to work with limited day-to-day supervision.

  • Strong administrative assistant experience, minimum 5 years

  • Excellent computer skills, Microsoft Word, PowerPoint, Excel. Outlook is mandatory. Oracle and Concur a plus

  • Event management experience.

  • Excellent written and oral communication skills

  • Fluent in both English and French (written and oral)
